Then people come through in slots of about fifteen minutes each. Most are done in eight and use the rest chatting. Twelve people fit comfortably inside four hours with room for the ones who run late, which there always are.
How to schedule it so it does not fall apart
- Book slots, do not announce a window. “Come by between 9 and 1” produces a queue at 12:40.
- Start with whoever is most nervous, not the CEO. Nervous people relax when the room is calm and empty.
- Put the executives mid-morning. Early enough to look fresh, late enough that the light and rhythm are dialed in.
- Send the outfit guidance a week ahead, not the night before.
- Name one internal contact. One person who knows the schedule and can knock on doors beats a group email chain.
What to tell your team beforehand
Solid colors, no logos, bring a jacket if they own one. Nothing that needs constant adjusting. And tell them how long it will take, because the biggest source of stiff photos is someone convinced this is going to eat their afternoon.
The new hire problem
Someone always joins two months later and their photo does not match. Two ways to handle it: keep a note of the setup so a single new portrait can be matched later, or plan a short refresh session once or twice a year. Companies that grow steadily do better with the second.
